Check-in Procedure
Check-in time begins at 4:00 p.m. During busy seasons, the property may not be available until 5:00 p.m. Directions to the check-in office will be emailed to you one week before your scheduled arrival. Every effort is made to have each home ready by 4:00 p.m., but no guarantee is made as to the exact time of occupancy. Housekeeping and maintenance personnel must provide services between occupancies for each home in preparation for incoming guests. On occasion, housekeeping and/or maintenance services may not be completed by your 4:00 p.m. check-in time. This situation rarely occurs and we apologize in advance if your check-in time is delayed.
Check-out Procedure
11:00 a.m. sharp is the scheduled check-out time. Homes with arrival on your departure date must be vacated by 11:00 a.m. Guests occupying the home after 11:00 a.m. will be accessed a late check-out fee equal to $150.00.
Payment Policy
A 25% down payment is required at the time of booking. The remaining balance, including rent, fees, and taxes will be due 30 days before arrival or risk cancellation. For any reservation made within 30 days of arrival, the total balance, including rent, fees, and taxes will be due at the time of booking.
Cancellations/Refunds
Cancellations received more than 30 days before arrival will forfeit the initial payment deposit, not exceeding $350. Cancellations received within 30 days of arrival will be charged the total price, less any supplementary fees such as cleaning and/or pet fees. There are no refunds for late arrivals, early departures, or for leaving the home for mechanical failure of non-essential items. Chelan Lookout Rentals Management reserves the right to terminate your contract/reservation with no refund if any rules set forth have been ignored.
Travel Insurance and Damage Protection
Each reservation is charged either a $55 non-refundable fee for travel insurance or a $500 refundable damage deposit. This is designed to protect the Guest(s) and Owner(s) from charges due to accidental damage only. If any damages surpass $2,500, then additional charges are applied to the credit card on file and written documentation sent to the Guest(s) of record. Damage Protection
Each reservation is charged either a $55 non-refundable fee for a damage protection plan or a $500 refundable damage deposit. This is designed to help protect the Guest(s) and Owner(s) from charges due to accidental damage done to the property, only. If there is accidental damage that surpasses the amount that is covered under the damage protection plan, or exceeds the $500 damage deposit, depending on which was chosen at booking, then those additional charges will be applied to the credit card on file and written documentation will be sent to the Guest(s) for the record.
Vacation Rental Damage Protection
As a part of your stay, you may purchase a Vacation Rental Damage Protection plan designed to cover unintentional damages to the rental unit interior that occur during your stay provided they are disclosed to management prior to check-out. If purchased, the policy will pay a maximum benefit of $3,000. Any damages that exceed $3,000 or are not covered under the plan will be charged to the credit card on file. If during your stay at one of our rental properties, an insured person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3,000. The Vacation Rental Damage can be purchased up to, and including at check-in. By submitting payment for this plan, you authorize and request Customized Services Administrators, Inc. d/b/a Generali Global Assistance & Insurance Services to pay directly Lookout Cottage Rentals LLC any amount payable under the terms and conditions of the Vacation Rental Damage. Please contact Lookout Cottage Rentals LLC directly if you do not wish to participate in this assignment.
Travel Insurance
Vacation Rental Insurance has been made available with your reservation. Vacation Rental Insurance provides coverage for the loss of prepaid, nonrefundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation investment and force you to incur unplanned expenses. We strongly recommend you purchase this valuable protection. Eviction
Residents and guests agree to adhere to local laws, rules, and regulations. Residents and guests agree to keep the premises clean and sanitary and comply with NO smoking and NO pet rules (if applicable). Residents and guests are subject to immediate eviction and removal from premises for any of the following reasons: (1) Smoking inside any home, or within 25 feet of any home. (2) Having unauthorized pets. (3) The number of occupants exceeds the number of contracted guests. (4) Complaints of noise, foul language, or otherwise disturbing the peace. The entire reservation costs will be forfeited for violation of any of the following reasons, regardless of whether the resident is evicted.
Unavailability of Rental Home
If the vacation home that has been secured becomes unavailable due to unforeseen circumstances such as emergency maintenance, sale of the property, removal from the property management program, or other unexpected issues beyond the control of The Lookout Rental Program, you will be offered a comparable rental home. If no comparable rental homes are available, guests are able to move their stay to a comparable property at the new property’s current rate or receive a full refund of all payments made due to cancellation.
Quiet Hours
10:00 p.m. - 7:00 a.m. - Monitored and Enforced. Chelan Lookout is a special neighborhood with a family environment. Hot tub use is allowed between the hours of 7:00 a.m. and 10:00 p.m. Please respect the desire of our full-time residents and other guests to honor quiet time.
The resident shall be fined $100 for each "after-hours call-out" for violation of quiet time between the hours of 10:30 p.m. and 7:00 a.m. Complaints of noise, foul language, or law enforcement response may be cause for immediate eviction from premises.
During Your Stay
Your home is stocked for your arrival with start-up bath amenity kits, a laundry amenity kit, dishwashing supplies, and paper products including tissue, toilet paper, and paper towels. These are intended for your convenience to begin your stay with us but are not replenished indefinitely.
Beds are ready and made for your arrival except for the following: trundles, futons, and sofa sleepers.
Cleaning Fee
Please leave the home in the same general condition as it was when you arrived. Staff will arrive after your departure to thoroughly clean and inspect the home.
All food and drink spills should be cleaned up as they occur. Food and drink spill on carpets are considered to be damaged, not normal wear and tear, and additional cleaning fees will be charged.
The refrigerator should be emptied of all food and free of spills. All used dishes should be rinsed and placed in the dishwasher on the wash cycle.
A mid-stay cleaning may be scheduled for 50% of the full cleaning fee. Mid-stay cleanings include: floors vacuumed and mopped, garbage collected, beds made (linens do not get washed), dishes loaded in the dishwasher, pots, and pans washed and put away, kitchen and bathroom counters wiped down, and restocking of bath/laundry supplies and paper products.
Additional housekeeping charges may also be applied in the occurrence of exceeding the maximum occupancy of the cottage.
What to Bring
Food, clothes, personal items, and beach towels. Please email or call us and ask for any items you do not see listed on the home's amenity list or are not sure about.
Security Deposit
In the event of a violation of our "no smoking", "no pet" or "maximum occupancy" policies or incidental damages which occur during the tenancy, the credit card on file will be charged an appropriate amount to cover expenses or repairs. Additional housekeeping charges will be charged if excessive cleaning is required and/or check-out procedures are not adhered to.
Lost and Found
Chelan Lookout Rentals and/or the property owner are not responsible for personal property left behind, stolen or damaged during your stay. Every attempt will be made to locate lost items, but there is no guarantee that they will be found. Upon check out PLEASE take all of your belongings & check the property carefully. Never leave valuables (cash, wallets, jewelry, cameras, etc.) unattended. If you find you have left something behind, call our office at 509-888-7677 and we will attempt to locate the missing item(s). If found, item(s) will be logged into "ileftmystuff" website where guests can arrange for return shipping. Items are held for 30 days. Items that are not picked up or shipped (at the guest's expense), are then donated to charity.
Pet Policy
Due to owners' & guests' allergies, certain homes DO NOT allow pets...big or small. In all cases - ANIMALS BESIDES DOGS ARE STRICTLY PROHIBITED. "Pet-friendly" homes are available by request with a maximum of 2 pets. A $50 pet fee/per pet/per reservation is required. Pets are not allowed on the furniture or beds unless covered with a pet sheet. Guests are responsible for their pet's behavior and any damage caused by the pet. Should we discover a pet has been/is in the home without prior approval, you will be charged a fee for pest control and a deep clean to restore the home to its original condition. If you miss picking up after your pet, a $25 fee per incident is charged. AT NO TIME MAY PETS BE LEFT UNATTENDED in a home, garage, or on the grounds of one of the homes. When outside PETS MUST BE ON A LEASH AT ALL TIMES.
Smoking Policy
ABSOLUTELY NO SMOKING IS ALLOWED IN ANY OF OUR HOMES
Parking
All Lookout guests must display valid parking permits during their stay. Upon arrival, the maximum number of parking permits are provided at each home. Any additional vehicles will need to park In our overflow parking lot, located at the Northwest entrance. Upon the 3rd and final violation, guests will be fined $250, booted, and/or towed at the owner’s expense. Any vehicles parking in or blocking a fire lane will be towed at the owner's expense. No motorhomes, ATVs, trailers, campers, of ANY KIND, are allowed. No boats or other watercraft are allowed up in the Hilltop District.
General Policies
The primary registered guest is responsible for any expenses incurred during the visit, including but not limited to loss and damages, accident or injury to a person, or loss sustained while visiting the home.
*Occupancy for each home is strictly enforced and fines will be assessed for exceeding the number of allowed guests.
The minimum rental age is 25 years or older. If the group is not a multi-generational family and is comprised of all adults, ALL guests must be 25 years old or above. No illegal substances are allowed in the rental and minors should not have alcohol. Violations will result in being evicted from the property you have rented and no refunds will be issued.
The guest acknowledges and authorizes Lookout Cottage Rentals (LCR) to charge the guest's credit card for all damaged and/or missing items to the premises while occupied by the guest. If the cost of extra cleaning, replacement, or repairs exceeds the guest's credit card limit, the guest agrees to pay the difference to Lookout Cottage Rentals.
LCR reserves the right to enter the premises, if the need arises, without guest permission. LCR will make every effort to contact the guest as to the purpose and duration we are to be in the home.
LCR and homeowners disclaim all liability for injury, loss, or damage. LCR will be held harmless from claims arising out of the use of the home, as well as amenities that accompany the home and the Lookout neighborhood in general. LCR is an agent for the owner, not an owner or a tenant. As the agent, LCR has the authority to act in the best interest of the homeowners in any situation.
LCR homes are part of a residential neighborhood. They require complete sensitivity to full-time neighbors and residents. Each home belongs to a loving family and they ask for your care and kindness.
The Lookout community is growing, and construction activity may occur during your stay. Construction hours vary by season but will fall between 7:00 a.m. - 6:00 p.m. on weekdays and 8:00 a.m. - 4:30 p.m. on weekends. Please contact Lookout Cottage Rentals at 509.888.7677 with any questions.
